Cin7 Core is a SaaS platform. Cin7 runs the infrastructure, takes the backups, and handles the redundancy. What you do not get is a self-service restore button or a downloadable database. If you want your own copy of your data — for audit, insurance, migration, or just peace of mind — you need to export it yourself. Here is the short version of how, what, and how often.
Why bother if Cin7 already backs it up?
Three reasons:
- Audit and accountant requests. Year-end auditors regularly ask for a snapshot of inventory and movements at a specific date. Pulling that out of Cin7 Core after the fact is harder than scheduling a monthly export.
- Migration insurance. If you ever leave Cin7 Core (for any reason), you want clean exports of your masters and transactions, not just a hope that support will hand you a database dump.
- Operational mistakes. Someone bulk-edits the wrong product list or imports the wrong CSV. Cin7 support can sometimes help, but a recent local export gets you out of trouble in minutes instead of days.
What to export, in priority order
- Products (with attributes, BOMs, supplier prices)
- Customers
- Suppliers
- Chart of accounts mapping
- Sales orders (open + closed for the period)
- Purchase orders
- Stock movements / inventory journal
- Stock on hand by location, dated
How to export from Cin7 Core (the manual way)
Most lists in Cin7 Core have an Export button at the top right. The pattern is the same everywhere:
- Open the list (Products, Customers, Sales, Purchases, etc.)
- Apply any filters you want (date range, status, location)
- Click Export — you get a CSV download
- Save it with a date-stamped filename, e.g.
cin7-products-2026-04-30.csv
For stock on hand, use Reports → Stock on Hand with the "As at date" field set to your snapshot date, then export.
The API option (for the technical end of town)
If you want hands-off backups, Cin7 Core has a REST API. The endpoints you care about for a snapshot job:
/ExternalApi/v2/products/ExternalApi/v2/customers/ExternalApi/v2/suppliers/ExternalApi/v2/saleand/ExternalApi/v2/purchase/ExternalApi/v2/ref/availabilityfor stock on hand
A scheduled script (Python, Make.com, Zapier — whatever you use) can pull these to S3, Dropbox, or a network share on a weekly cadence. We build these for clients who treat their inventory data like the financial asset it is.
How often?
- Masters (products, customers, suppliers): monthly, plus before any bulk edit or import
- Transactions: monthly snapshot at month-end
- Stock on hand: at month-end and at financial year-end — non-negotiable for audit
Where to keep the exports
Anywhere off Cin7 Core. A dated folder in Dropbox, OneDrive, Google Drive, or a network share is fine. The point is that the data is somewhere you control, on a different system, in a format any tool can read (CSV).
We build scheduled Cin7 Core backup jobs for clients running on Make.com, Zapier, or Python — CSV snapshots written to your cloud storage, dated, ready for audit. Book a 15-minute call if you want one set up.
